Vacation Rental Agreement
Thank you for booking your vacation rental with Back Nine Retreats, LLC. Please read this Vacation Rental Agreement (“Rental Agreement”) carefully before signing. By signing the Rental Agreement, you agree to the terms outlined herein. The Rental Agreement must be signed to finalize your reservation. If signing electronically, you agree that your electronic signature is the legal equivalent of your handwritten signature and shall have the same legal validity and enforceability. All policies are strictly enforced. It is the responsibility of all guests and members of their party to be familiar with all policies pertaining to the rental.
RENTER REQUIREMENTS
The person booking the reservation is considered the primary guest. The guest must be at least 25 years of age to reserve the home and must occupy the rental property for the entire duration of the stay.
The name on all documents must match:
• Guest name on this agreement
• Name on the credit/debit card used for payment
• Name on the photo ID
A copy of a valid driver’s license or passport will be required upon reservation confirmation through the virtual check-in process.
All other persons occupying the home are considered to be the guest’s invitees. All communication regarding reservation changes, cancellations, and damages will be with the guest only.
Reservations are specific to the home booked, for the number of guests listed, and for the dates reserved. The home may not be sublet, assigned, or shared. No unapproved visitors or third parties are allowed to use the accommodation.

1. RENTAL TERMS
This is a short-term vacation rental governed by Florida Statutes § 509 and § 83. This agreement does not establish a tenancy under Florida landlord/tenant laws. Guests may not claim legal residency or occupancy rights beyond the dates of this stay.
2. PAYMENT & FEES

3. Security Deposit
A security deposit of $1,000.00 may be collected prior to check-in. This deposit will be held as a pre-authorization and released within 3 days of departure, pending property inspection.
Any deductions will be documented and shared with the guest before charges are finalized.
4.Payment Policy
Reservations must be secured by a valid credit/debit card issued by American Express, Discover, MasterCard, or Visa. By submitting payment, the guest agrees that Back Nine Retreats, LLC may charge the card on file for any amounts due under this agreement. All reservations booked must complete our online guest ID verification.
5.Fees & Taxes
All reservations are subject to:
• A one-time mandatory departure cleaning fee
• A property protection fee
• A daily resort fee
• State and local taxes (currently 7.5% sales tax + 6% occupancy tax)
These charges are not included in the nightly rate, are non-negotiable, and are subject to change without notice.
6. CANCELLATION POLICY
All vacation rental homes are subject to a 30-day cancellation notice. Cancellations must be received in writing.
• Cancellations made 31+ days in advance before arrival will receive a full refund minus any processing fees.
• Cancellations made 7-30 days before arrival will result in the loss of 50% of the reservation value plus any processing fees.
• Cancellations made 0-6 days before arrival will result in the loss of 100% of the reservation value.
Regrettably, Back Nine Retreats, LLC cannot waive any cancellation fees under any circumstances.
Closures or maintenance of Resort Amenities (including but not limited to the Water Park, Golf, Tennis, and Mini Golf) will not exempt guests from cancellation penalties. Once a home has been confirmed, the reservation dates and the rental property cannot be changed. Doing so would effectively cancel the original reservation, and the cancellation policy would apply. Please note, no refunds will be given for late arrivals, early departures, or unused days during your reservation. In case of a rental property becoming unavailable through unforeseen damage or circumstances beyond the company’s control, Back Nine Retreats, LLC will seek to offer alternative accommodation. In the event alternative accommodations cannot be obtained, or are unacceptable to the guest, Back Nine Retreats, LLC will refund all monies paid to the company. This will be the full extent of Back Nine Retreats, LLC liability to the guest and the company will not be responsible for any other costs connected with any such cancellation.
7. HOUSE RULES (Summary)
No Smoking
No Pets
Primary renter must be 25+ years old
Only registered guests allowed on the property
Maximum occupancy must not exceed booking details
No third-party bookings allowed
No unauthorized parties or events
Pre-approved bachelor trips, corporate retreats, and golf groups welcome — respect the space and neighbors
Excessive noise, disorderly conduct, or neighbor complaints will result in immediate eviction without refund
Quiet hours: 10:00 PM – 8:00 AM
Let us know immediately if something breaks or needs attention
Outdoor cameras are installed for safety — do not tamper with security equipment
No indoor cameras are on-site
Do not unplug or alter Wi-Fi, smart home systems, or streaming equipment
No open flames, candles, or fireworks allowed
Use fire pit and grill with caution — do not leave unattended
Fire extinguisher and first aid kits are available on-site
Use of amenities is at guest’s own risk
Back Nine Retreats is not responsible for accidents or injuries during your stay
Please keep music, outdoor conversations, and activities respectful during quiet hours
Reunion Resort has strict community guidelines — violations may result in fines or removal
Golf simulator, duckpin bowling, hot tub, cold plunge, sauna, fire pit, and pool are to be used at your own risk
No glass in or near the pool, hot tub, simulator, or putting green
Children must be supervised at all times around amenities
Please follow posted rules in game rooms and outdoor areas
Please treat the home with care and respect
Any damages, missing items, or excessive messes may result in additional charges
Guests are required to complete and sign our rental agreement, provide a valid government-issued photo ID, submit a selfie for verification, and pay the required security deposit before their reservation is confirmed.
Extra guests are allowed up to the maximum capacity, but there is an extra guest fee for each additional guest beyond the base number of guests included in the nightly rate. Example: This home sleeps up to 32 guests. The nightly rate includes 16 guests. Guests 17 to 32 are charged an extra guest fee of $50 per person per night.
By booking with Back Nine Retreats, you agree to all house rules. Violations may result in cancellation of your stay with no refund and loss of security deposit.
8. LIABILITY WAIVER
Use of amenities (including but not limited to the pool, spa, golf simulator, duckpin bowling, cold plunge, sauna, and game equipment) is at your own risk.
Back Nine Retreats, LLC is not liable for:
• Injuries, accidents, or illness occurring during the stay
• Lost, stolen, or damaged personal property
9. DAMAGE & AUTHORIZATION CLAUSE
Damage, Loss, and Additional Charges:
Guest agrees to maintain the property in good condition and will be financially responsible for any:
• Damage
• Lost items
• Missing amenities
• Excessive cleaning
• Smoking violations
• Unauthorized pets
• Misuse of equipment (e.g., golf simulator, sauna, pool, etc.)
Payment Authorization:
By signing this agreement and submitting payment, the guest authorizes Back Nine Retreats, LLC to charge the credit card on file for any additional costs resulting from the above, if necessary.
Charges will only be processed after written notice is provided to the guest along with supporting documentation, such as:
• Photographs
• Invoices
• Damage reports
Disputes must be raised within 48 hours of the charge notification.
10. SMOKING & PET POLICY
• Smoking or vaping is NOT permitted on the property
• No pets allowed
• Unauthorized pets or evidence of smoking will result in additional cleaning fees and/or security deposit deductions
11. POOL HEAT & EQUIPMENT USE
Pool Heat:
• Pool heat is available upon request for an additional fee
• Must be booked for the entire stay
• It may take 12–24 hours for water to reach desired temperature
• Heaters raise water temps ~10° above ambient air temperature
• The pool and spa share the same system — spa-only heating is not available
• No refunds will be issued for slow heating or lower temps during cold weather
Guests may NOT adjust pool equipment — any tampering may result in charges.
Pool Cleaning:
• Pools are cleaned twice per week
• Leaves, insects, or debris may be present in between cleanings
• Additional cleanings can be scheduled for a fee
• No refunds will be issued for temporary outdoor debris
12. APPLIANCES & EQUIPMENT USE
Refrigerators:
• Food can take 2–3 hours to cool
• Keep vents clear and avoid overloading
• Minimize door opening to maintain performance
Freezers:
• Avoid prolonged open doors (this can freeze water lines)
Air Conditioning:
• Do not set thermostats below 72°F
• Lower temps can freeze the unit and lead to loss of A/C and service charges
• Always keep doors and windows closed
13. PARKING
Parking violations may result in towing or booting at the guest’s expense. Please observe the following rules:
• Do not park facing the wrong direction (passenger side must face curb)
• No overnight street parking between 1:00 AM and 6:00 AM
• Do not park on the lawn or sidewalks
• Do not block driveways or park on driveway aprons
• No RVs, trailers, boats, or campers are allowed on the resort property
• Only approved vehicles with parking permits may use street parking overnight
Guests are responsible for any costs associated with towing, storage, or boot removal.
14. RESORT POLICIES
• Maximum occupancy is enforced by state law
• Parties and large events are strictly prohibited
• Any illegal activity, drug use, or disruptive behavior may result in immediate removal without refund
• Quiet hours begin at 10:00 PM — Reunion Resort enforces this rule strictly
• The resort is cashless — use a credit or debit card for purchases
• No compensation will be given for minor pest issues or weather-related outdoor inconveniences
• Package handling/storage fees may apply at the resort
15. ARRIVAL & CHECK-IN
• Check-in time is 4:00 PM
• Early check-in may be available for an additional fee (with prior approval)
• Please do not arrive early unless you’ve arranged it in advance
• ID verification is required for all reservations
16. UPON ARRIVAL
• Please inspect the home and report any pre-existing damage or issues within 4 hours of check-in
• After that time, guests assume responsibility for the condition of the property
• Accidental damage should be reported immediately to avoid disputes
17. DEPARTURE
• Check-out time is 10:00 AM
• Late check-out may be available with prior approval for an additional fee
• Failure to vacate by 10:00 AM may result in additional charges
Before leaving:
• Place used dishes in the dishwasher and start the cycle
• Tie and bag all trash/recycling and place inside the garbage and or recycling cans and place on the circle the street
• Double-check for personal belongings and chargers
• Lock the door — the smart lock will auto-secure
18. RIGHT OF ENTRY
Guest agrees that Back Nine Retreats, LLC and authorized staff may enter the property at any time under the following conditions:
• To investigate disturbances or safety concerns
• To ensure occupancy limits or house rules are being followed
• To perform maintenance, repairs, or improvements
• To comply with HOA or regulatory inspections
Whenever possible, reasonable notice will be provided in advance.
19. SECURITY & SAFETY
• Always lock doors and windows when leaving the home
• Back Nine Retreats is not responsible for theft or loss of personal belongings
• Candles are not permitted indoors due to fire risk
• Children must be supervised at all times, especially around water or stairs
• Guest assumes responsibility for the home and contents upon arrival
20. INDEMNIFICATION & HOLD HARMLESS
Guest and all invitees agree to hold harmless and indemnify Back Nine Retreats, LLC and the property owner(s) from any claim, loss, liability, or expense, including legal costs, arising from but not limited to:
• Use of the property or resort amenities
• Injury, illness, or accidents occurring on or near the property
• Failure of appliances, air conditioning, pool heater, Wi-Fi, or electronics
• Nearby construction noise, utility disruptions, or landscaping
No refunds will be issued for minor inconveniences, service outages, or natural elements (e.g., insects, weather, leaves in the pool, etc.).
21. Security Cameras and Recording Disclosure
Guest acknowledges that exterior security cameras are installed at the property, including a Ring doorbell camera located at the front entrance, a security camera overlooking the driveway, and a security camera overlooking the pool equipment. These cameras record video of exterior areas only.
By signing this agreement, Guest and all occupants consent to video recording in exterior areas of the property and acknowledge that no cameras are located inside the home or in private areas.
22. GOVERNING LAW
This agreement is governed by the laws of the State of Florida. Any legal disputes will be resolved in the courts of Osceola County, Florida.
23. SIGNATURE & AGREEMENT
By signing below, you agree to all the terms and conditions stated in this Vacation Rental Agreement and authorize Back Nine Retreats, LLC to charge your card for the total due, including any permitted damages or fees as outlined above.

Guests will have exclusive and private access to the entire 12-bedroom estate and all its advertised amenities. Our home is equipped with a smart lock for a smooth, keyless self-check-in. On the day of your arrival, you will receive an email containing your unique access code and a quick guide for entering the home. You can check in any time after 4:00 PM without needing to meet anyone in person.

• No excessive noise or music outside after 10 PM
5. Smoking
• Absolutely no smoking or vaping allowed on the property
6. Pets
• No pets allowed unless pre-approved in writing
• A pet fee and additional cleaning charges may apply
7. Amenities Use
• All amenities (golf simulator, pool, hot tub, sauna, cold plunge) are used at your own risk
• No glass near the pool, hot tub, or simulator area
• Please follow posted guidelines for safe use of all features
8. Kitchen & Appliances
• You’re welcome to use the kitchen and all appliances
• Please clean up after use and leave items as you found them
• Do not leave food or trash out overnight (especially in outdoor areas)
9. Damage & Security Deposit
• Please treat the home with care
• Any damage, missing items, or excessive messes may result in additional charges
• Accidents happen — just let us know right away
10. Smart Devices & Cameras
• Exterior security cameras are installed at the front door and over the pool equipment for guest safety and property protection
• There are no cameras inside the home
• Do not tamper with internet, smart home, or security systems
11. Fire Safety
• No open flames or candles indoors
• Use caution around the grill and outdoor kitchen

12. Children & Safety
• Children must be supervised at all times, especially near pools, saunas, or simulator areas
